HubScope Limited is a New Zealand company based in Wellington. This policy explains how we handle personal information. It covers this website and the HubScope application.

We handle personal information in accordance with the Privacy Act 2020 and the information privacy principles.

Information we collect

What you give us. When you contact us, request a demonstration or an example map, or otherwise get in touch, we collect what you provide. This is usually your name, work email address, organisation, role, and the content of your message. You do not have to provide any of it to browse this website; if you contact us or ask for a service, we need enough to respond.

What we collect automatically. As with most websites, we collect information about how our site is used. This includes technical details about your device and browser, and a record of the pages you view and the features you interact with. We use your IP address to work out roughly where in the world a visit came from, and we do not retain it.

If your organisation uses HubScope. We process the content your team enters into the application, account details for the people your organisation authorises, and records of usage and technical errors.

How we use it

  • To respond to your enquiry and provide what you asked for.
  • To provide, operate, support and improve our website and product.
  • To understand how they are used, and to measure whether our marketing works.
  • To keep our services secure, prevent misuse, and meet our legal obligations.

We do not sell personal information, we do not build advertising profiles, and we do not use customer content to train artificial intelligence models.

Cookies, analytics and session recording

We use first-party cookies and similar browser storage to tell one visit from the next, and a product analytics service to understand how our website is used. That service includes session recording, which replays a visit so we can see how people move through a page and where they get stuck. Anything entered into a form field is masked and is not recorded.

We do not use third-party advertising or cross-site tracking cookies.

Most browsers let you block or delete cookies through their settings. If your browser is set to send a Do Not Track or Global Privacy Control signal, we do not measure your visit.

Who we share it with

We share personal information with service providers who help us run our website and product, including providers of hosting, email delivery, product analytics, abuse prevention, error monitoring and operational alerting. They act on our instructions, they may not use it for their own purposes, and we remain responsible for how it is handled on our behalf. We can provide a current list on request.

Some of these providers store or process information outside New Zealand. Where that happens we take reasonable steps to ensure it is subject to comparable safeguards, as information privacy principle 12 requires.

We may also disclose personal information where the law requires or permits it. We do not otherwise share your information.

Connecting an AI assistant

HubScope does not send customer content to an AI provider, and we hold no arrangement with one for that purpose.

We do offer an optional connector that lets an organisation work with its own maps from an AI assistant it already uses, such as Microsoft 365 Copilot, ChatGPT or Claude. It is off by default and must be switched on by an authorised person in your workspace, for each map. Where it is on, anything the assistant reads is handled by that provider under your organisation’s agreement with them rather than ours.

How long we keep it

We keep personal information only as long as we need it, or as long as the law requires.

Enquiry correspondence is generally kept for up to two years after our last contact with you. Session recordings are deleted after 30 days, and other website analytics are kept for 12 months. Content in the application is kept while your organisation is using HubScope, and deleted on request when that ends. You can ask us to delete information sooner at any time.

Security

We use technical and organisational measures to protect personal information against loss, misuse, and unauthorised access, disclosure or alteration. Information is encrypted in transit, and access to it is limited to the people who need it for the work they are doing.

Seeing and correcting your information

Under the Privacy Act 2020 you may ask for access to the personal information we hold about you, and ask us to correct it. Use the form on our contact page and we will respond within 20 working days, as the Act requires.

Most of what we collect automatically from this website is not held in a way that identifies you, so we may not be able to locate it in response to a request. Where that is the case we will say so, and we can stop collecting it from your browser from that point on.

If you are not satisfied with how we have handled your information or your request, you may complain to the Office of the Privacy Commissioner at privacy.org.nz.

Visitors from outside New Zealand

Our website and services are intended for organisations in New Zealand, and this policy is written to New Zealand law. If you access them from elsewhere, you do so on your own initiative.

Changes

We may update this policy from time to time. The version published here is always the current one, and we update the date at the top when we change it.
